Terms and conditions

Please read these terms carefully before booking or renting equipment from THE BASE Outdoor Rentals.

General Terms & Conditions

These Terms & Conditions govern all rentals provided by THE BASE Outdoor Rentals ("THE BASE", "we", "our", or "us"). By making a reservation, completing payment, or accepting rental equipment, the customer ("the Renter", "you", or "your") acknowledges that they have read, understood, and agree to be bound by these Terms & Conditions.

These Terms & Conditions apply to all rentals unless otherwise stated in the applicable Summer Rental Terms, Winter Clothing Rental Terms, or any separately executed Rental Release Agreement or Waiver.

1. Booking

Reservations may be made through our website.

To ensure equipment availability and allow sufficient time for preparation, reservations should be made at least 48 hours before the rental start date.

Rental equipment cannot be reserved by telephone.

If you have any questions regarding availability or your reservation, please contact us at info@thebaseyukon.com. We will respond as soon as reasonably possible during business hours.

2. Payment

Full payment is required at the time of booking.

Payments are processed securely through Stripe using a valid credit card. THE BASE does not store your credit card information. For more information regarding payment security, please refer to Stripe's Privacy Policy and Terms of Service.

3. Cancellation Policy

Customers may cancel their reservation within 24 hours of making the booking and receive a full refund, regardless of the scheduled rental start date, provided the rental period has not yet begun.

After the initial 24-hour cancellation period, the following cancellation policy applies:

  • More than 30 days before the rental start date: Full refund.
  • 14–30 days before the rental start date: 50% of the total booking amount will be refunded.
  • Within 14 days of the rental start date, partial cancellations, reductions to the reservation, or no-shows: No refund will be provided.

Reservation changes may be made up to 48 hours before the rental start date, subject to equipment availability.

Unfortunately, refunds cannot be provided for flight cancellations, travel delays, weather conditions, road closures, or other travel disruptions beyond the control of THE BASE. Rental equipment may already have been reserved exclusively for your booking. We strongly recommend purchasing travel insurance to protect against unexpected travel interruptions.

4. Pickup & Return

Rental equipment may be picked up during regular business hours on the first day of the rental period and must be returned no later than the published closing time on the final rental day, unless otherwise agreed in writing.

The Renter may authorize another individual to collect the equipment on their behalf. The authorized individual must provide the name under which the reservation was made.

A valid government-issued photo ID is required for all rentals. Renters residing outside Canada may be asked to present a valid passport.

The Renter must be at least 18 years of age to rent equipment from THE BASE.

5. Equipment Inspection

All rental equipment is thoroughly inspected, cleaned, and prepared prior to each rental to ensure it is clean, functional, and in good working condition.

The Renter is responsible for inspecting all equipment immediately upon pickup or delivery.

Any missing items, damage, or concerns must be reported to THE BASE before the equipment is used. Failure to report any issues before use may result in the equipment being deemed accepted in its rented condition.

If any issue is identified, THE BASE will make every reasonable effort to replace the affected item(s), subject to availability.

Damage or missing items reported after the rental equipment has left THE BASE or the designated delivery location may not be considered pre-existing.

6. Returned Equipment Inspection

All returned equipment is inspected after it has been received by THE BASE.

The inspection process may take up to 24 hours to complete.

If missing items, excessive dirt, damage beyond normal wear and tear, or other issues are identified during the inspection, the Renter will be notified and any applicable charges may be applied.

Normal wear resulting from proper and intended use will not result in additional charges.

7. Missing & Damaged Items

The Renter is responsible for all rental equipment from the time it is picked up or delivered until it has been returned to and inspected by THE BASE.

The Renter is financially responsible for any equipment that is lost, stolen, damaged beyond normal wear and tear, or otherwise deemed unsuitable for future rental.

If any rental equipment is not returned, is returned damaged beyond repair, or requires replacement, the Renter will be charged the applicable replacement cost.

If a missing item is located and returned to THE BASE within seven (7) calendar days of the scheduled return date, any replacement charge paid for that item will be fully refunded, provided the item is returned in rentable condition.

THE BASE reserves the sole right to determine whether damage exceeds normal wear and tear and whether an item remains suitable for future rental.

Rental equipment should never be left unattended or unsecured during the rental period.

The Renter authorizes THE BASE to charge the credit card used for the original reservation for any unpaid fees, including but not limited to:

  • Lost or stolen equipment
  • Damaged equipment
  • Cleaning charges
  • Late return fees
  • Replacement costs
  • Any other charges permitted under these Terms & Conditions

Receipts or supporting documentation will be provided upon request. Replacement charges for specific rental equipment are listed in the applicable Summer Rental Terms and Winter Clothing Rental Terms.

8. Limitation of Liability

THE BASE takes reasonable care to provide rental equipment that is clean, properly maintained, and suitable for its intended purpose.

However, to the fullest extent permitted by applicable law, THE BASE shall not be liable for any injury, death, loss, damage, delay, expense, or inconvenience arising from the use or inability to use rental equipment, except where such liability results directly from the gross negligence or wilful misconduct of THE BASE.

Nothing in these Terms & Conditions limits any rights that cannot legally be excluded under applicable Canadian law.

9. Force Majeure

THE BASE shall not be responsible for any failure or delay in fulfilling its obligations where such failure or delay results from circumstances beyond its reasonable control.

Such circumstances include, but are not limited to:

  • Wildfires
  • Floods
  • Severe weather
  • Road closures
  • Government actions
  • Public health emergencies
  • Utility failures
  • Labour disputes
  • Natural disasters
  • Any other force majeure event

In these circumstances, THE BASE reserves the right to modify, postpone, or cancel reservations as reasonably necessary.

10. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Yukon Territory and the applicable laws of Canada.

Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of the Yukon Territory unless otherwise required by applicable law.

11. Rental Release Agreement

Certain rental equipment and activities require the Renter to review and accept a separate Rental Release Agreement (Waiver) before rental equipment is released.

By completing a reservation, accepting rental equipment, or participating in any activity requiring a waiver, the Renter acknowledges that they have read, understood, and agreed to the applicable Rental Release Agreement.

THE BASE reserves the right to refuse the release of rental equipment if the required Rental Release Agreement has not been accepted.

11. Rental Release Agreement

Certain rental equipment and activities require the Renter to review and accept a separate Rental Release Agreement (Waiver) before rental equipment is released.

By completing a reservation, accepting rental equipment, or participating in any activity requiring a waiver, the Renter acknowledges that they have read, understood, and agreed to the applicable Rental Release Agreement.

THE BASE reserves the right to refuse the release of rental equipment if the required Rental Release Agreement has not been accepted.

Summer Rental Terms

The following terms apply to all camping, backpacking, canoe, and other summer equipment rentals provided by THE BASE during the summer operating season.

1. Rental Period

Summer rentals are based on the number of nights reserved.

For example:

  • 1 Night Rental = 2 Days
  • 2 Night Rental = 3 Days
  • 3 Night Rental = 4 Days

Rental equipment may be picked up during regular business hours on the first day of the reservation.

Unless otherwise agreed, rental equipment should be returned by the published closing time on the scheduled return date.

As a courtesy, equipment returned by 11:00 AM on the morning following the scheduled return date will not incur any additional rental charges.

If the scheduled return date falls on a day when THE BASE is closed, we will provide flexible return arrangements whenever possible. After your reservation has been confirmed, we will contact you with return instructions based on your reservation dates.

2. Bear Spray Rental

Each rental bear spray is weighed before and after every rental.

The original weight is recorded on the bottom of each canister prior to pickup.

Upon return, THE BASE will inspect and weigh the bear spray to determine whether it has been discharged.

If the bear spray has been discharged for any reason, including emergency or accidental use, the applicable replacement charge listed in the Replacement Charges section will apply.

For safety reasons, discharged bear spray cannot be returned to rental inventory.

For your convenience, THE BASE offers 24-hour accessible pickup lockers for bear spray rentals. Customers may select the locker pickup option during the booking process, subject to availability. Locker availability is limited and cannot be guaranteed for every reservation.

3. Unused Equipment

Rental fees are based on the reserved rental period rather than actual use.

No refunds or partial credits will be provided for equipment that is returned unused or used less frequently than anticipated.

All returned equipment must undergo the same inspection and cleaning procedures regardless of use.

4. Cleaning

Rental equipment must be returned reasonably clean, completely dry, and free of excessive dirt, mud, food residue, or other contamination.

Failure to return equipment in acceptable condition may result in a cleaning fee.

The standard cleaning fee is CAD $30.00 plus applicable GST per affected item or set of equipment.

Additional cleaning or repair charges may apply where equipment requires unusually extensive cleaning.

5. Late Returns

Rental equipment returned after the agreed return time without prior approval will be subject to an additional rental charge.

Late returns will be charged at the applicable rental rate for each additional rental period required.

If you anticipate returning your equipment late, please contact THE BASE as soon as possible at info@thebaseyukon.com.

Approval of a late return is subject to equipment availability and future reservations.

6. Replacement Charges

If equipment is lost, stolen, or damaged beyond repair, the following replacement charges will apply. The following charges represent the estimated replacement cost of rental equipment and are subject to change without notice.

All prices are in Canadian Dollars (CAD). Applicable GST will be added.

Replacement charges may be updated periodically to reflect current replacement costs without prior notice.

Winter Clothing Rental Terms

The following terms apply to all winter clothing rentals provided by THE BASE during the winter operating season.

1. Rental Period

Winter rentals are based on the number of nights reserved.

For example:

  • 1 Night Rental = 2 Days
  • 2 Night Rental = 3 Days
  • 3 Night Rental = 4 Days

Rental clothing may be picked up from 2:00 PM on the first day of the reservation.

Unless otherwise arranged, all rental clothing must be returned by 12:00 PM (noon) on the scheduled return date.

2. Delivery Service

THE BASE offers delivery service to selected hotels within Whitehorse.

If hotel delivery has been selected, rental equipment will be delivered to the hotel's front desk by 2:00 PM on the rental start date.

For hotel delivery reservations:

  • The rental period begins once the equipment has been delivered to the hotel.
  • Rental items must be returned to the hotel front desk by 12:00 PM (noon) on the scheduled return date, unless otherwise instructed.
  • Please ensure that hotel staff are aware that you are returning rental equipment for THE BASE.

THE BASE is not responsible for rental equipment after it has been delivered to the agreed location and before it is collected by the Renter.

3. Size Exchange

One complimentary size exchange is available during your rental period, subject to availability.

Size exchanges must be completed at THE BASE retail location. Delivery service is not available for size exchanges.

If you wish to exchange an item, we recommend contacting us in advance so we can confirm availability before your visit.

4. Late Returns

Rental clothing returned after the agreed return time without prior approval may be subject to additional rental charges.

Late returns are charged at the applicable rental rate for each additional rental period required.

If hotel delivery service was selected, rental items must be returned to the hotel front desk by 12:00 PM (noon) on the scheduled return date.

If you anticipate returning your rental late, please contact THE BASE as soon as possible at info@thebaseyukon.com.

Approval of late returns is subject to availability and future reservations.

5. Replacement Charges

If rental clothing is lost, stolen, or damaged beyond repair, the following replacement charges will apply.
